Online appointment booking for your clinic, salon or office

Set your hours, services, branches and team once, and customers book a time that suits them from your site, while every booking reaches you by email and WhatsApp.

Booking by phone means calls at the busiest hour, appointments written on paper, and customers who forget. On Tansik the customer books from your website at a time that is really free, you hear about it at once, and you run everything from one dashboard. Here is a practical guide to setting up bookings step by step.

Opening hours and booking rules

You start in the booking settings, where you set:

  • Opening hours for each day of the week, and your business’s time zone.
  • The appointment length, with its own length per service if you need it (a 20-minute check-up, a one-hour session).
  • A gap between appointments if you need time to prepare or clean.
  • The minimum notice, so nobody books ten minutes from now.
  • How many days ahead people can book.
  • Closed dates: the Eid holiday, a national day or a trip, with no times offered.

Customers then see only the free times, and two customers can never book the same one.

Branches and your team

If you have more than one branch, add each with its address, hours, phone and map, and customers pick the nearest. Then add your team: the doctors at your clinic, the teachers at your academy, the lawyers at your firm. Each of them has:

  • The services they offer and the branches they work at.
  • Their own working hours, and their own appointment length if you want.
  • A profile, qualifications and the languages they speak, with a page on your site.

Customers can also say who they prefer: a male or female doctor or teacher, or either, which matters to many customers in Saudi Arabia and the Gulf.

The booking form: your questions, and a number check

The booking form asks for a name, a mobile number, an optional email and the customer’s notes. You can add up to five extra questions, as a choice from a list or as free text: the reason for the visit, how they heard of you, a student’s current level. You can also write instructions the customer sees with their booking, such as “please arrive ten minutes early”.

To cut down on fake bookings, turn on WhatsApp number confirmation: the customer gets a code on their number, and the booking is only made once they enter it. If the code doesn’t arrive on WhatsApp, it can be sent by email.

After the booking: confirmation, alerts and cancelling

You can confirm each booking yourself, or have bookings confirmed straight away. Then:

  • Every new booking reaches you by email and WhatsApp and shows in your bookings.
  • The customer gets an email when their booking is received, confirmed and cancelled, with a link to their booking page.
  • From that page customers cancel by themselves up to the notice you set (24 hours, say), and you get an alert.
  • You move the booking along in the dashboard: confirmed, completed, no-show or cancelled.

If you connect Google Calendar, each confirmed booking is added to your calendar, the customer gets an invitation from Google by email, and cancelling removes it from the calendar too.

Online classes and prepayment

If you work remotely, each booking can get its own Zoom or Google Meet link, you can offer free trial classes, and you can take payment before the booking. We cover this in detail in online classes over Zoom and Google Meet.

WhatsApp and your ads

The WhatsApp assistant knows your free times, so when a customer asks “do you have anything tomorrow?” it replies with times and sends the booking link; see WhatsApp auto replies. And each booking is sent as a conversion to the ads platforms you’ve connected, so you know which ad brought the appointments, and you see it in your analytics.

Get started

Open Bookings in your site’s dashboard, set your hours and services, add your branches and team if you have them, then add the booking page to your site. Bookings come with the plans that include them; see the plans, or see how they work in the solutions for clinics and salons.

Questions

Can two customers book the same time?

No. Only free times are shown, and the time is checked again at the moment of booking; if someone got there first, the customer is asked to pick another.

Can customers cancel their appointment?

Yes, from the link to their booking page, up to the notice you set before the appointment. You get an alert when they do.

Do I need Google Calendar?

No. All bookings are in your Tansik dashboard. Connecting Google Calendar is optional, for those who want appointments in their calendar.
